There are many factors that determine what gets printed in a spreadsheet document and how it looks when it's printed. It's helpful to know some of these factors up front to give you a general idea of how to set up a spreadsheet for printing and where to look if you're having trouble controlling printing.

  • The Page Style window See Setting Page and Sheet Options on page 547. You get to this window by choosing Format > Page with the spreadsheet open that you want to print. You can also get to this window from the Stylist, by right-clicking the page style used for the sheet and choosing Modify.

    The Page tab determines margins, paper size, orientation (portrait or landscape), page layout, page numbering style, and placement of the cells relative to the page (horizontally and vertically).

    The Sheet tab determines which spreadsheet elements are printed, direction that sheets are printed (top to bottom or left to right), the first number used for page numbering, scaling of the printed pages, and the maximum number of pages that will print.

    The Page Style window also lets you set page borders, background colors, and page headers and footers.

  • The Print Options window See Choosing What Sheets to Print on page 625.

  • The Cell Attributes window, Cell Protection tab See Keeping Specific Cells From Printing on page 629.You get to this window by selecting the cells you want, right-clicking, and choosing Format Cells. You can also get to it by choosing Format > Cells.

    In the Cell Protection tab of this window, there's an option to let you hide selected cells when printing. If this option is selected for cells, their contents will not print.

  • Print Ranges See Repeating Spreadsheet Headings (Rows or Columns) on Each Page on page 626. If you define a specific range of cells to print by choosing Format > Print Ranges > (Define, Add, or Edit), only those cells will print. If you select the Edit item, you can also determine which row or column headings will repeat on each printed page.

  • Page breaks Accept the default ones, set your own, or just change the column width to adjust where page breaks occur. Check the page size (see Setting Page and Sheet Options on page 547), and preview and adjust page breaks (Previewing Page Breaks on page 551). Also take into account where your headers and footers, if any, are positioned (see Setting Up Headers and Footers on page 549).

  • Your printer's properties Most printers let you set properties such as orientation (portrait or landscape), print scaling, and the range of pages to print. Make sure these settings aren't conflicting with the print results you want. See Chapter 4, Printer Setup and Printing , on page 53.
