The Document dialog (Figures 7 and 8) enables you to set a number of page and section formatting options. The dialog offers two panes of options:

  • Margins (Figure 7) enables you to set margins, gutter, and header and footer locations for a document or document section.

  • Layout (Figure 8) enables you to set section start options, header and footer options, and vertical alignment for a document or section.

One very important aspect of the Document dialog is the Apply to pop-up menu (Figures 9 and 10) beneath the Preview area in each pane. This menu determines how page formatting options in the dialog are applied to the document. The options on this menu vary depending on what is selected in the document window:

  • Whole document (Figures 9 and 10) applies the formatting to all of the pages in the document. This option always appears.

  • This point forward (Figure 9) applies the formatting to the document's pages from the insertion point to the end of the document. Choosing this option automatically inserts a section break at the insertion point. This option only appears if no text is selected when you open the Document dialog.

  • This section (Figure 9) applies the formatting to the current sectionthe section in which the insertion point is blinking. This option only appears if the document already contains at least one section break and no text is selected when you open the Document dialog.

  • Selected text (Figure 10) applies the formatting to only the text that is selected in the document. Choosing this option automatically inserts a section break before and after the selected text. This option only appears if text is selected when you open the Document dialog.

  • Selected sections (Figure 10) applies the formatting to the currently selected document sections. This option only appears if text in at least once section is selected when you open the Document dialog.

This part of the chapter explains how to set page and section formatting options in the Document dialog.

Tip

  • Some Document optionssuch as margins, paper size, and orientationaffect the dimensions of a page's printable area. If you plan to use non-standard Document options, consider setting them before you create and format your document.

To open the Document dialog

Choose Format > Document (Figure 11).

To set margin options

1.

In the Document dialog, click the Margins button to display its options (Figure 7).

2.

To set margins, enter values in the Top, Bottom, Left, and Right boxes.

3.

To set a gutter width, enter a value in the Gutter box.

4.

To set the distance from the top and bottom of the page for the header and footer, enter values in the Header and Footer boxes.

5.

To set up the document for double-sided printing and facing pages, turn on the Mirror margins check box. This changes the Left and Right margin options to Inside and Outside options and displays two pages in the Preview area (Figure 12).

To apply your settings to the entire document, make sure Whole document is selected from the Apply to pop-up menu (Figures 9 and 10). Otherwise, choose the desired option from the Apply to pop-up menu.

Click OK.

Tips

  • A gutter is additional empty space on one side of a page to accommodate document binding (Figure 12).

  • As you make changes in the dialog, the preview area changes accordingly.

To set section start options

1.

In the Document dialog, click the Layout button to display its options (Figure 8).

2.

To set options for a section break, choose an option from the Section start pop-up menu (Figure 13). These options correspond to the options in the Break submenu under the Insert menu (Figure 5), which is discussed earlier in this chapter.

To have multiple headers and footers in the document, set options in the Headers and Footers area:

  • Different odd and even enables you to specify different headers and footers for odd and even pages of the document or section.

  • Different first page enables you to specify a different header and footer for the first page of the document or section.

To set vertical alignment for a document page, choose an option from the Vertical alignment pop-up menu (Figure 14). Figure 15 shows print previews of what each option looks like when applied to the same document page.

5.

To apply your settings to the entire document, make sure Whole document is selected from the Apply to pop-up menu (Figures 9 and 10). Otherwise, choose the desired option from the Apply to pop-up menu.

6.

Click OK.

Tips

  • I explain how to insert headers and footers later in this chapter.

  • Vertical alignment is only apparent on pages that are less than a full page in length.

  • On screen, you can only view vertical alignment in Page Layout view and Print Preview.

To set default page formatting

1.

In the Page Setup dialog, set options as desired in the Margins and Layout panes (Figures 7 and 8).

2.

Click the Default button.

3.

Word displays a dialog like the one in Figure 16, asking if you want to change the default settings for the template on which the document is based. Click Yes only if you want the settings to apply to all new documents that you create with that template.
